What to prepare before e-Invoice implementation
e-Invoice readiness is more than installing software. Align identity data, transaction fields, ownership and test scenarios before rollout.
1. Business and tax identity
- Registered name and business/company number
- Correct TIN and access to MyTax/MyInvois roles
- MSIC and business activity description
- Registered, business and contact addresses
- Official contact for responsible staff
2. Customer and supplier records
Check whether the system can hold the trading party's name, identification/TIN, address and contacts where applicable. Requirements vary by transaction and party; follow current official guidance rather than forcing one field set on everyone.
3. Product and service data
- Clear, consistent descriptions
- Applicable classifications and tax treatment
- Units, quantities, prices, discounts and charges
- Links between refunds, credit notes and corrections
4. Invoice workflow
Map the real path from quotation and sale to payment and invoicing. Assign who creates, reviews, submits, corrects and cancels documents, and how validation records are retained.
5. POS and accounting checks
- The MyInvois method and version the supplier supports
- Handling for network or service interruption
- Branch, cashier and accounting permissions
- Backup, export and migration capability
- No sharing of API keys or customer data through untrusted channels
6. Pre-launch testing
Use non-sensitive test data for cash and non-cash sales, B2B/B2C scenarios, refunds, corrections, discounts, service charges and branches. Front-line and finance staff should both complete the workflow.
7. Common gaps
- Names or registration numbers differ between systems

- Only normal sales are tested, not refunds or corrections
